IQHA COMMITTEE RESPONSIBILITIES

Membership:

  • Create online and mail in membership form annually.
  • Maintain membership listing.

Year End Point Keeper:

  • Receive IQHA approved show’s results and use the Year End Award Rules to compile the current
    listing of Point Standings.

Social Media Coordinator:

  • Keep IQHA social media up to date, as well as the IQHA website.
  • Request monthly newsletter information and send newsletter out at the beginning of every month.

IQHYA Liaison:

  • An IQHA board member will attend IQHYA meetings. Liaison will deliver a report to the IQHA board on each meeting, including a treasurer’s report.
  • Verify that all youth running for an office, holding an office, on a youth team and/or are participating in any event that requires a current membership has an IQHA family membership along with their youth membership.

Stallion Service Auction:

  • Contact Stallion Owners.
  • Coordinate auction with online auction company.
  • Utilize social media to promote stallions and auction.
  • Oversee the set-up, advertising and distribution of catalog.
  • Coordinate the Stallion owner contract along with the purchaser.
  • Continue with follow-up sales after the auction.
  • Thank you letters as necessary.
  • Prepare a sold and unsold list for publication and tracking.

Breeder’s Futurity:

  • Prepare a budget.
  • Provide input on the show schedule for class placement.
  • Working within the budget, provide awards and prizes.
  • Promote the futurities through flyers, ads, and social media.
  • Secure sponsorships for added monies and or prizes.
  • Be available to assist during the show in the set up and distribution of awards or secure volunteers to help.
  • Develop or update forms and resources as needed for stallion and mare owners.
  • Review rules annually having any rule change recommendations to the IQHA board prior to September 1.
  • Generate ideas to continue the success of the futurities.
  • Provide forms and viable information for publication in the IQHA Directory, email blasts and as needed advertising sources.
  • The Committees will work with the Breeders Secretary throughout the year and assist the Secretary as needed during the show.

Ranch Horse Futurity:

  • Prepare a budget.
  • Hire a show coordinator. Committee will coordinate with the show manager on a show schedule, patterns, hiring of judges, ring stewards, announcer and gate help.
  • Working within the budget, provide awards and prizes for futurity.
  • Promote the futurities through flyers, ads, and social media.
  • Secure sponsorships for added monies and or prizes.
  • Be available to assist during the show in the set up and distribution of awards, exhibitor party, pre show set up and tear down, cattle provisions, trail set up and tear down, contract a photographer, videographer and acquire vendors.
  • Develop or update forms and resources as needed for the show and stallion and mare owners. Provide forms and viable information for publication in the IQHA Directory, email blasts and as needed in advertising sources.
  • Review rules annually having any rule change recommendations to the IQHA board prior to November 1.
  • The Committee will work with the Show Secretary throughout the year and assist the Secretary as needed during the show.

Horseback Riding Program

  • Develop the criteria for participation in the program.
  • Gather award ideas and costs to the executive committee for their approval.
  • Set up awards at the Annual Banquet Awards ceremony.
  • Tabulate hours for participants from their log sheets.

Banquet

  • Working within the budget, select menu and costs for banquet and beverages and/or food for meeting rooms.
  • Organize the set-up of meeting and banquet rooms, including PA system, riser(s) etc..
  • Provide ideas and fees for entertainment to the IQHA board. Secure entertainment with board approval.
  • Prepare a reservation form for online reservations, social media announcements and include in IQHA emails.
  • Secure an emcee.
  • Work with the Executive Committee on program details.
  • Options: Develop a program / brochure and/or video. Plan activities for member participation.

Hall of Fame

  • Provide a nomination form listing the requirements for nomination, including the selection process. Share form to the website, IQHA Directory and member correspondence via IQHA email blasts.
  • Announce deadlines on Facebook.
  • Select the Hall of Fame award recipients from nominations and coordinate the Presentation of Awards to be held during the Annual banquet.
  • Submit Hall of Fame honoree information to website and IQHA directory.

Horse Fair

  • Make arrangements with the horse fair and set up payment through IQHA.
  • The committee will set-up a booth and display IQHA and AQHA materials in a professional and accessible manner. Membership forms and other informational handouts will be made available to the public.
  • Committee will coordinate with other IQHA members for help in manning the booth. Representing IQHA, members will greet horse fair attendees in a friendly manner, be informative about IQHA and encourage attendees to become members.
  • Find a suitable horse for the Avenue of Breeds and a responsible caretaker of the horse during the fair.
  • OPTIONS: Provide interactive games with the public. Offer IQHA promotional items to handout.

IQHA Shows

  • This committee will not be by calendar year, but will work towards the following year’s show..
  • Prepare a budget.
  • The IQHA board and Show Committee will work together to approve and hire a show coordinator and secretary. Committee will coordinate with the show manager on a show schedule, confirm the hiring of judges, assist in hiring ring stewards, announcer and if necessary, gate help. Committee will report to the IQHA board on their progress.
  • The IQHA board and Show Committee work together to approve and hire a stall barn manager. Barn Manager will provide stall reservation forms, make available online reservations, track stall reservations as they come in, provide a stall chart (online and in office), set up and tear down the office, check-in arrivals, be available during show hours, and have available extra show forms/materials. Committee and stall office manager will advise the show manager and board about incoming reservations to help track the size of the show. Shavings distribution will be handled through the stalling office. Stall barn will also house breakfast/coffee for exhibitors. Record and take payments and verify payments against recorded information. Properly prepare deposits. Include a report on stall reservations, shavings and the deposits for the IQHA Executive Committee.
  • Contract a shavings business and workforce, with board approval.
  • Contract a photographer with board approval. Accommodate photographer needs; greet photographer upon arrival, backdrop location, provide them with a show schedule, provide them sponsor signage and the necessary IQHA logos. Make them aware of the host hotel, rates and location.
  • Working within the budget, determine All-Around and Circuit awards and prizes for the event.
  • Promote the show through flyers, ads, and social media.
  • Secure sponsorships for added monies and or prizes. Manage the details of an exhibitor party following budget allowances.
  • Be available or find volunteers to assist during the show in the set up and distribution of awards, exhibitor party, pre-show set up and tear down, trail set up and tear down.

New Shows and Improvements:

  • The Committee will work to discuss opportunities for shows and show growth.

By-Laws:

  • Committee will furnish to the board current by-laws along with any recommendation(s) of change(s) in accordance with IQHA by-law deadline requirements. Recommendations may come from any IQHA member. Upon board review, any corrections and or changes will be made and put up for a membership vote during the annual meeting.

Finance/Budget:

  • Work with the accounting manager to confirm and track expenditures.
  • Prepare annual budget and process for analyzing budget vs. actuals throughout the year.

Sponsorship/Fundraising:

  • Develop a Sponsor list for all events and shows.
  • Utilize sponsorship form.
  • Contact Sponsors
  • Research available grants and apply for grants.
  • Send sponsor thank-you’s.
  • Plan and organize an IQHA fundraiser activity with IQHA board oversight.

Grievance:

  • Will abide as written in the IQHA by-laws.

Historian:

  • Aid in documentation and recordkeeping of IQHA’s history.

Year End Awards:

  • Working within the IQHA awards budget, provide awards and prize recommendations along with costs to the IQHA board for approval.
  • Coordinate the ordering and shipment of awards.
  • Receive awards and check for correct information, spellings & damage.
  • Manage delivery and set up for awards at the Annual Banquet Awards Ceremony.
  • Manage the sign off sheet when awards are picked up and by whom.
  • Arrange for the delivery or alternative pick up for awards if not attending the banquet.
  • Work with the Amateur Awards Committee to streamline the awards selection process.
